Booking terms and conditions

These terms and conditions may be amended from time to time and apply to all of our services.

Whenever booking a tour, using or browsing through this website (both desktop and mobile), you declare that you have read, agreed and understood the following terms and conditions set by Glaciers and Waterfalls Limited.

Glaciers and Waterfalls is a tour operator, providing multiple day tours around Iceland. Reservations and bookings for our services can be made on our website “www.glaciersandwaterfalls.is” or through any other 3rd party reseller that we sell our services on. Should you encounter any problems, you can contact our customer care department at “info@glaciersandwaterfalls.is”Be sure to provide all information required when booking. Completed bookings will be sent a confirmation email, which includes a booking number. Please bring this confirmation with you on the day of the tour, as this will act as proof of payment. Be aware that you are responsible for providing the correct information required by Glaciers and Waterfalls, and that Glaciers and Waterfalls cannot be responsible for any mistakes made during the booking process. 

Glaciers and Waterfalls reserves the right to change timetables and/or tour itineraries in the events of bad weather conditions. Glaciers and Waterfalls is not responsible for costs and expenses related to flight delays, injuries, weather, war, natural disasters and/or other such unforeseeable matters out of our control. When booking you declare that you are responsible for providing Glaciers and Waterfalls with the correct contact details.

1. Rates

Please note that all prices for the services provided by Glaciers and Waterfalls are in the company’s local currency, Icelandic Krona (ISK). Any pricing that is advertised in local currency on the Glaciers and Waterfalls website or through approved re-sellers is subject to exchange rate fluctuation. Therefore, any price not advertised in Icelandic Krona must be taken as indicative only with the Icelandic Krona price taking precedent. As a local operator Glaciers and Waterfalls can not be responsible for currency fluctuations and or additional fees outside its control that may be applied such as bank transfer fees, credit card fees and etc.

Glaciers and Waterfalls Limited. reserves the right to change its rates in case of economic changes, including, but not limited to, currency fluctuations, inflations, increased cost of supplies, tax changes and other force majeure events. In case of VAT or other tax changes, the Client contract prices will change accordingly. Price changes affected by tax changes will apply to all reservations, although reservations has been confirmed on previous prices or payment has already been made. All rates are inclusive of VAT and are subject to any official tax changes.

2. Promotional codes

Promotional codes or special offers cannot be refunded or applied after booking one of tours.
Should you have a promotional code, and/or a special offer, these codes are to be entered into the correct field at the time of booking, in order to be applied and valid.
Promotions held with any of our resellers and that are not featured on our website www.glaciersandwaterfalls.is cannot be used on our website without our own approval.

3. Pick-up and drop-off services

Pick ups and drop offs are of course offered on all tours for Glaciers and Waterfalls.
When booking your tour you will choose your preferred pick up location. Direct hotel pick ups are not available in the city of Reykjavik, and are instead done from designated bus stops around the city centre. If you are unsure about the best bus stop to be picked up at, feel free to contact us at info@glacierandwaterfalls.is, and we can help you out.
Pick ups outside of the city of Reykjavik can be organised, but please contact us first at info@glacierandwaterfalls.is to arrange this properly.

In the event that you miss your pick up, please be aware that Glaciers and Waterfalls cannot be held responsible and that you are not entitles to a refund. You as the traveller are responsible for making sure you are at the right place at the right time in order to meet your guide.
However, In the event of a missed pick up, Glaciers and Waterfalls will do its best to reschedule you if possible, but cannot be guaranteed.
It is your responsibility to reach out to Glaciers and Waterfall if you have missed your pick up.

Please also be aware that the guide might have to make several pick ups at different bus stops before the tour officially starts.

4. Meeting us on location

Many of our tours offer an option to “meet on location”. Should you choose this option it is your responsibility to arrive at the designated meeting point at the time required. Needless to say this is also your responsibility to arrive at the right location.

No refunds can be given if you fail to arrive at the designated location and the given time.

Please note that if you do not arrive in time for your tour and/or do not arrive at the correct meeting point at the specified time for your tour then you are not entitled to a refund. If you have missed the start time of your tour you are not entitled to a refund. However, when possible we will try to reschedule your tour to another day. This is not guaranteed and is subject to availability. It is your responsibility to reach out to Glaciers and Waterfalls if you have missed your tour to request reschedule.

5. Extras and rental gear

Extras and rental gear can be added upon booking if you didn’t choose it as an extra as part of booking. For some of our tours we have rental gear (boots, waterproof pants and jackets) in the back of the bus with all sizes. Payment can be made on the day through payment links online with credit card. If you have already made a reservation with us and would like to add any extras and/or rental gear to your reservation then please contact us at info@glaciersandwaterfalls.is. Although some of our tours have rental gear held in the vehicle this is not mandatory and if you require rental gear you must contact Glaciers and Waterfalls prior to the tour to guarantee availability on the tour.

Please note that all extras and rental gear reservations are final. No refund is given for extras & rental gear, this hiking shoes, waterproof jacket and pants etc. In some circumstances there may not be exact sizes for every individual even if booked in advance. In this scenario the next closest size will be provided.

Safety equipment needed for each tour, such as glacier equipment, is provided by Glaciers and Waterfalls and is not classified as rental gear.

6. Travel insurance

It’s always best to get some travel insurance, especially these days, and we at Glaciers and Waterfalls strongly recommend you purchase insurance before you travel that covers you properly.

7. Icelandic weather and conditions

The weather in Iceland is highly unpredictable, especially in winter, and occasionally we do have to alter itinerary, routes in sometimes cancel tours.
Unforeseen events such as road closures, high winds, floods, impassable routes, white outs are common here in Iceland in the winter.  
Glaciers and Waterfalls reserves the right to change itinerary and/or routes and to also cancel our tours if the weather is severe. 

If your tour with Glaciers and Waterfalls  is cancelled due to bad wether you will receive a full refund.
If you as the customer decides to cancel your tour, because of of weather, but we are still operating the tour, you will not receive a refund.
We operate our tours as often as is safely possible, and all of our driver guides, have years of experience driving in adverse wether conditions. 

The weather on the glaciers can be multiple times worse than the weather on the lower lands, and can often be completely inaccessible or just plain dangerous. Glaciers and Waterfalls follows closely the weather reports and warning from the national weather authority, and it sometimes can come down to the guides themselves making a call on wether it is safe to go there or not. Please respect your guide if they have to do this. It is with your safety in mind.
Glaciers and Waterfalls reserves the right to change itinerary and/or routes and to also cancel our tours if the weather is severe. 

8. Clothing

Appropriate footwear and suitable outdoor clothing must be worn. Glaciers and Waterfalls reserve the right to refuse participation to clients who are dressed inappropriately or with inappropriate footwear as this will put the client’s well-being and safety at risk.

Although specific clothing types are not expressed here, it is important to consider that the Icelandic weather forecast is changeable and temperate. This means clothing should account for wet, windy and cold weather, even in summer. Your guide will have the final say in allowing you to take part in any and all activities based on your preparedness for the tour. You will not be eligible for a partial refund in the case that your suitability stops you from taking part in any activity.

9. Assumed risk and outdoor activities

Customers who take part in activities and tours operated by Glaciers and Waterfalls are doing so at their own risk, and must follow the guidelines and rules of the guide, and behave in a responsible manner. 
All outdoor activities can carry some risk, some more than others, and Glaciers and Waterfalls does not assume any responsibility for accidents that are caused by its clients or can be traced to their own actions or are caused by factors outside of human control.
When purchasing your tour/activity you agree to these conditions, and understand that you take full responsibility for your own safety.
For some tours and activities you may be requires to sign an additional liability form in order to participate.

It is your responsibility to fully read the tour description, that details what each tour entails. If you are unsure whether you are able to take part in all activities it is your responsibility to contact Glaciers and Waterfalls before the tour to cover any uncertainties.

 

10. Alcohol and drugs

Glaciers and Waterfalls reserve the right to refuse participation to clients who we believe are under the influence of alcohol or drugs. In such circumstances no refund shall be given. Our guides reserve the right to refuse participation to any client whose conduct or manner is likely to cause offence, upset or put other clients or the guide in danger. In such cases, full cancellation charges apply.

11. Reviews and feedback

Glaciers and Waterfalls welcomes any feedback that you give us in order to improve our services and performance. We would greatly appreciate it if you could share your tour experience with us.

12. Liability

No responsibility is taken for losses or expenses due to delay or changes of flights, injury, damages, negligence, weather, war or other unforeseeable causes (force majeure). The estimated duration of tours as indicated on our website, are standard times and can vary according to road or weather conditions. Punctuality is a key objective to Glaciers and Waterfalls operations. However, delays may occur for unforeseen reasons. The company cannot be made responsible for losses that a passenger may face due to delay, regardless of whether the loss is direct or indirect.

13. Privacy policy

All personal information will be strictly confidential and will not be given or sold to a third party. We do offer products or services on our website from trusted partner companies within the Icelandic tourism sector. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites.
